The layer everything else bolts onto

One spine, instead of nine tools and a human.

Your CRM, booking, payments, and client delivery wired into a single system with one data model. Built first, because every other system on this page depends on it.

  • OneSource of truth, not four
  • ZeroManual re-entry between tools
  • 2-4 wksFrom map to cutover

You already know if this is you

What it looks like before this exists.

If two or more of these are familiar, this is the system to build first.

  • The same client exists three times, spelled three ways
  • Someone retypes a name from the form into the CRM, then the calendar, then the invoice
  • Nobody can answer "how many active clients do we have" without opening four tabs
  • Onboarding is a checklist in someone’s head

No slideware, no strategy deck

What physically gets built.

One data model

Contacts, companies, deals, and engagements defined once, with the fields you actually use and none of the ones you do not. Everything downstream reads from this.

Tool-to-tool sync

Form, CRM, calendar, payment processor, and delivery tooling connected so a change in one lands everywhere else without a person in the middle.

Booking and payment flows

Round-robin or single-host booking, deposits or full payment, reminders, reschedules, and the no-show path all handled as one flow rather than four disconnected ones.

Client onboarding automation

Contract signed triggers the welcome, the intake form, the folder, the kickoff invite, and the internal task set. Nobody has to remember the sequence.

Pipeline architecture

Stages that mean something, with entry and exit criteria written down, so pipeline reports stop being a matter of opinion.

Permissions and hygiene

Who can see what, duplicate prevention, required-field rules, and an archive path so the database stays trustworthy after month three.

Three beats, start to handover

How this one actually runs.

  1. Beat 1 of 3

    Map what exists

Every tool, every field, every manual handoff, written down. Most of this phase is finding the workarounds nobody mentions because they have stopped noticing them.

  2. Beat 2 of 3

    Build and migrate

The new spine gets built alongside the old setup, your data gets cleaned and moved, and both run in parallel until the new one is provably correct.

  3. Beat 3 of 3

    Cut over and document

One switch date, a written runbook, and a week of close monitoring while your team gets used to a system that no longer needs them to hold it together.

CliqHQ holds no reseller relationships. Nothing on this list is a default we are paid to recommend, and we build on whatever fits your business.

Asked every time we scope this one

Two things worth settling early.

Do we have to leave our current CRM?

Usually not. In most builds the CRM stays and the wiring around it changes. We only recommend a move when the current tool physically cannot hold the data model your business needs, and we will show you the specific limitation rather than asking you to take it on faith.

What happens to our existing data?

It gets audited, de-duplicated, and migrated. You approve the cleaning rules before anything is merged or deleted, and the original export is kept intact so any decision can be reversed.

One call, no deck, no pitch

Bring us the mess. Leave with the map.

On the call we go through your stack, your workflows, and where the hours and the leads are going. You leave with the leak map whether or not you work with us.

  • 30 minutes, one call
  • You keep the audit either way
  • No retainer trap, ever
